How to fill in an Air Waybill

What is an Air Waybill?

An airway bill, also known as a consignment note, dispatch note or waybill, is a contract between the shipper and the carrier. It provides key information for the shipper and is also used for tracking the shipment.

Should I type or handwrite the information?

It’s best to type the information so it’s clear and easy to read. If you need to handwrite the Air Waybill, make sure the details are legible on all copies. That way your carrier can ensure a smooth delivery.

What details do I need to provide?

Step 1: Fill in your details

  • Date
  • Account number
  • Company name
  • Phone number
  • Complete address
  • VAT or tax ID

If there’s a different collection address, include it.

Step 2: Fill in your receiver’s details

  • Their name
  • Phone number
  • Tax ID number

Again, if there’s a different delivery address, make sure you include it with the contact details. Post office addresses are acceptable in a few countries.

Step 3: Fill in the shipment details

Step 6: Sign

Finally, either you or a company representative must sign the Air Waybill.

It’s also worthwhile including a packing list with a goods description. Place the list inside the package.
